Step 1

Basic information about the event

The organization of events in SALESmanago Marketing Automation start from some basic parameters. In the tab, “LEAD GENERATION”, “Events Management”, and choose “add event”. Now define the basic parameters:

[1] Name – will be displayed on the list of events

[2] Event Name

[3] Owner – the person who is responsible for the event

[4] Tags – designations to be assigned to the contact

[5] Group – events can be grouped to make management easier

  • Active – when you select the check box will be possible to sign in to form events
  • Next, define the event. If this a single event than provide its parameters here. If it is a series of events, then mark the one that should be first in the series.

[5] Town and location

[6] Start and end date – the beginning and end of the event

[7] Subscription Deadline – the date the registration form will automatically be turned off

[8] Max Subscribers – after reaching that number the registration form will be automatically turned off

[9] Paid/Add a payment form – if the event is paid and you want to collect a data for the payment in the form of mark “yes” for both.  And in your chosen form put the command $payment$

[10] Register – registrations do not need to be confirmed by the administrator, the owner can confirm them as well

“Add next” is a new module to organize events.  With it, we can create the recurring event(s).

Name the next event, add the city, place, etc. This way you can create a whole series of events.

Step 2: Preparing the registration form

Start with the first form, which is the main form for registration and is required. The first form has only a portion of the information you need. The rest you will find out in the second, which displays the person who clicked the link in the email. When creating a form, you have to insert the full html code and use CSS styles if possible. The fields to be completed are in the same place as a “insert placeholder” option on the toolbar, then drop down to “events management”.

 

Here, check the appropriate standard fields. Among them you will find: name, last name, email, phone number and other standard data available in contact details. You can also create your own non-standard fields. For this purpose, use the “custom input, dictionary or custom check box”.  If you need a simple box to be completed, select a “custom input” and specify its name, for an example, the industry. In the situation in which you would like to have an auto-fill for the first typed letters, choose a dictionary and specify the field name and the name of the dictionary from which the system will try to match the hint. If you need a check box, choose “custom check box” and specify its name.

For the mechanism to work properly you have to set an including opt-in, which you can make in the “confirmation email settings”. Set the email account you want to send to. Then add the message you want to include.  Add the opt-in with the command $optin$.

Step 3: The system collects records and creates a list of guests

Information about people who are geared for a specific event is presented on a list of saved people and divided by individual parts of the event. From this list, you can view the details of the event and go directly to the contact card in the CRM module of SALESmanago. In addition, a contact card keeps track of the contact records for individual events. Also, an email can be sent to request to confirm a completion of the form. The email will also be added to the database in SALESmanago and will now be monitored by the system. The system will start to gather information about behaviour on the website of the company, response to emails, etc. After clicking on the link, the contact will be redirected to the second part of the form on the website. Here you can ask for more details or view the website and get a “thank you for registration” and confirm the registration.

Step 4: Automatic Communication

Every registration for a specific event assigns a tag to a particular contact. It depends on you how the system will react. Assigning the tag can trigger a series of automatic actions such as:

  • increase scoring;
  • send reminders about upcoming events;
  • send materials after an event;
  • automatic invitations to subsequent events organized by the company, etc.

SALESmanago Marketing Automation now allows you to fully move the registration to the organized event, manage the guest list, and most importantly, all the information is collected automatically and assigned to the profiles of your contacts. So, you gain a better understanding of potential customers, and you can use this information when designing and implementing subsequent marketing and sales activities.
