Predefined segments for addressing emails

Selectors are used to group contacts based on common characteristics such as location, dynamic segments, and consent status. You can use these selectors to address campaigns instead of email addresses or tags.

You can apply advanced filtering options wherever there is a contact selection option, including the Customer Segmentation Center

1. List of selectors

  • All contacts – All contacts in the database
  • Tag [tag name] – Addresses from a given tag

IMPORTANT: By choosing this selector, you open a list that shows an index of available tags. You can either look for your preferred tags in the search box or select them from the list below. You can check one or more tags. The figure next to the tag indicates the number of contacts to which the tag is assigned. Tags are added by default with the conjunction “or.” This means that the segment will include contacts that have at least one of the selected tags assigned.

  • Opened [mailing name] – Addresses of recipients who have opened a message from a particular mailing
  • Not opened [mailing name] – Addresses of recipients who did not open a message from a particular mailing
  • Clicked [mailing name] – Addresses of recipients who have clicked on a message from a particular mailing
  • Not clicked [mailing name] – Addresses of recipients who did not click on a message from a particular mailing
  • Sent [mailing name] – Addresses of recipients to which a particular mailing has been sent 
  • Planned [mailing name] – Addresses of recipients for whom a mailing has been scheduled
  • SMS sent – Addresses of recipients to which a particular text message has been sent

IMPORTANT: For tag selectors and email and SMS status selectors, only a fraction of the results are displayed in the hint box. To narrow the criteria, enter three or more characters of the tag/email/SMS name in the search box.

ATTENTION:You can select multiple mailings from different groups by checking the appropriate checkboxes.

  • Consent confirmed [consent name] – Addresses of recipients who have given consent, currently have active consent, and have not canceled consent
  • Monitored – Contacts that are monitored 
  • Not monitored – Contacts that are not monitored
  • SMS opted in – Contacts who subscribed to text messages
  • SMS opted out – Contacts who opted out of receiving text messages
  • Opted in – Contacts subscribed to emails
  • Opted out – Contacts who have opted out of receiving emails
  • One message a week – Contacts who have agreed to receive only one message a week when they chose their mailing preferences; the order of the message plays a key role – the message that is planned as first (from Monday to Sunday) will be sent to the contact
  • Deleted – Deleted contacts
  • Invalid – Invalid contacts
  • Contact – Individual contacts searched by name 
  • State – Client, prospect, partner, other
  • Birthday – For contacts who have birthdays:
    • Today – select Birthday: today
    • Tomorrow – select Birthday: tomorrow
    • In 7 days (counted from the following day) – select Birthday: 7 days
    • In a particular month – select Birthday:01 (without a space separator) or Birthday: 01 (with a space separator), keeping in mind that for January–September you need to add 0 before numbers 1–9 and Birthday:10 (without a space separator) or Birthday: 10 (with a space separator), keeping in mind that for October–December you do not add a 0 before numbers 10–12
    • At any date (use format dd-mm; e.g., Birthday:15-01)

IMPORTANT: You need a hyphen between the day and month

NOTE: In the examples below (city, country, province, post_code_prefix), it is important to define the example and write the selector’s value after the special character “:” (e.g., city: Warsaw).

  • City [city name] – Contacts with their address in a specified city as per their contact card

IMPORTANT: In order for the contact to be included in the segment, the name must be exactly the same as the name given on the contact card. Please take into consideration spelling discrepancies and possible misspellings (e.g., Cracow, Krakow).

  • Country [country name] – Contacts with their address in a specified country, as per their contact card
  • Province [province name] – Contacts with their address in a specified province, as per their contact card
  • Post code – Contacts that have this post code
  • Post code prefix – Contacts that have this prefix in their post code
  • Owner [owner address] – Contacts for whom an owner is assigned to their account
  • Main owner [main owner address] – Contacts for whom the main owner is assigned to their account
  • Funnel [funnel name] – Addresses from a given funnel
  • Stage – Addresses from a given stage of the funnel

IMPORTANT: Clicking on the stage selector opens a window with a list of available sales funnels. Preferred funnels can be searched in the window or selected from the list below. When selecting a funnel, you can tick the checkbox next to the funnel’s name – all contacts included in given sales funnel will then be added to the recipient group. If you click the “⌄” sign, a list will expand showing the stages in the selected funnel. By ticking the box next to a stage, you can select a group of recipients belonging to this stage.

  • First purchase – Selector relating to the first purchase of the product, available variants below:

An example of how the “first_purchase” selector can be used is setting up a periodic email to be sent to clients whose first purchase occurred at a predefined time. This could be an email with a discount code that is to be sent to users who made their first purchase a year ago.

  • Last purchase – Selector relating to the last made purchase of the product, available variants below:
  • Event [event name] – Contacts subscribed to an event

Selectors for customers who have the predictive analysis module:

  • Client’s churn probability
    • low
    • medium
    • high
    • very high
  • Purchase probability
    • low
    • medium
    • high
    • very high

Selector for customers who have the dynamic segment module:

  • Dynamic segment – Select contacts that are in chosen dynamic segment

Loyalty Program Selectors:

  • Loyalty program level – Contacts at the selected tier of a Loyalty Program

Pick a segment – Additionally, you can use predefined recipient groups to address a mailing or manage contacts.

Clicking on the Select Segment menu [1] opens a drop-down list of predefined segments. You can find a segment by typing its name in the search box [2] or by manually browsing the list [3]. To choose the correct recipient group, click on its name in the list. When you pick a specific segment, selectors defining that segment will appear in the contact selection and exclusion windows. A list of filters applied to the group will also appear below. All elements will be editable.


2. Ways to add selectors

In the wizard, you will encounter three different ways to choose selectors:

  • Select from the drop-down menu
    This selector option has the fewest steps. It appears with defined segments like All Contacts or Monitored, which do not need to be further specified.

To use this method, expand the menu [1] and then select the segment that interests you [2] from the list. After clicking, the segment will automatically appear in the list of selectors.

  • Tick the checkbox next to the selected option
    In the case of selectors that require additional narrowing and specifying, you usually make your selection by ticking the checkboxes next to the relevant options.

In order to select the right options, you must tick the proper checkboxes [1]. If the list is long, you can use the browser window and start typing the name of the option you are looking for [2]. You can also select all options with one click [3] and then, for example, uncheck some unwanted ones. This is especially useful if the list is particularly long and will be used almost entirely, with only a few exceptions. It may also happen that the chosen selector has more than one alternative.

This happens, for example, in the case of the selector “Has a birthday” in the selected month. To create a precise segment, expand the menu with available choices [1] and select one or more options [2] from the drop-down list.

  • Enter manually
    With some selectors for addressing mailings, you may encounter a third selection option. Some segments have to be entered manually. This applies especially to those that are not a built-in system option but rather a user-defined detail, for example.

For this selection option, enter specific phrases in box [1] and then validate so it appears below in list [2]. You can use a space or comma to validate.

IMPORTANT: For manually entered selectors to work, they must be identical to what is on the contact card. If the detail is entered by the client, it is worth taking into account common typos and spelling versions of the word (e.g., New York, newyork, New Yorke, etc.).
