Creating an email template

Before creating a message you will need to create a template first. The template will contain the message framework, its elements such as a logo, footer, layout and fields in curly brackets, e.g. {header} {banner} {content} {product}. You can also use the template to create an entire message in case the information within the template is used for a one-off mailing campaign. When creating a message, simply select the template you made and save it.

1. Import ZIP or add a new template

Templates can be added in two ways:

[1] Search type in a phrase in the field to search for a ready-made template in the system.

[2] Import ZIP – by importing an already prepared template code together with graphics from a ZIP file. You must add index.html and graphics to the .zip archive, not the entire folder with the template.

How to prepare correctly ZIP for import:

  • images and html needs to be placed in the same folder
  • UTF-8 coding
  • extensions in the code needs to be written in lowercase, e.g. .jpg, .png (NOT: .JPG, .PNG)

[3] Add a new template – enables you to create a template in the old creator or upload a template developed in HTML.

Please note that in order to create a template in the new creator, you will have to go to EMAIL MARKETING -> DRAG&DROP EMAIL DESIGNER.

2. Adding elements to the template

After clicking Add New Template go to the template editor:

[1] Name – the name that will allow you to identify the template in the program.

[2] Group – select the group you want the template to be placed in, with the default group set as default. When creating a template you can add a group, or select an existing one.

[3] This template is shared – click this option to make your template available and visible to other user’s accounts.

[4] Abandoned Cart – click the option to enable adding products from an abandoned cart to the template.

[4] This template is dynamic – click this option for dynamic templates (advanced option).

[5] Use email content from a URL – with this option you can upload a template from an external server. Paste the URL address of the template into the field. If the encoded template contains information in the subject line (in the ‘title’ attribute) then while sending the email the subject line will be taken from this attribute and the one entered in SALESmanago will be ignored.


3. Creating a template – basic information

To add an image from our gallery, click the button below:

After that, you will be redirected to the window with the default gallery:

You can choose an image and then click Select. You can also upload your own image by clicking Add file which is placed in the upper right corner after you fold the panel with the image.

The image will appear in the e-mail template:

[B] Adding fields to the template

A field in the template is a place which you can fill with unique content while you are creating an email. You can add fields by means of the button below:

After you click it, there will be a pop-up window, where you need to type in the name of the field (e.g. headline). Then accept it with Insert button. The name cannot contain spaces. The field will appear in the template:

Obviously, you can also type it in by yourself. In such case you need to type the name of the fields in brace brackets.

Apart from that, in SALESmanago you can edit the source of HTML code of the template. You can launch the editor with HTML button or click Toggle Editor button. Below the article, you can find tips about HTML codes in email software.

[C] Adding CSS styles

CSS is a language to describe a form of presentation. CSS enables you to set such parameters like size, thickness, colors, font style, background color or spaces between the elements.

In the case when you want to create your own email template by means of HTML creator, you need to remember to put CSS styles linearly. Except for RWD emails for which media queries that are responsible for correct display of emails of various resolutions. They need to be inserted in the head section between tags <style> and </style>.

4. Save the template

Once you’re done with the template. You edit it anytime by going to EMAIL MARKETING -> Email Templates. Choose ‘Edit‘ from the buttons below. You can also delete the tempate or duplicate it.

5. Tips on HTML templates

When an email is sent using this template, the graphics will be taken from the server.

We recommend creating a template in HTML. Below you can find some tips on creating templates using HTML code.

  • ideally, create a simple template as possible, avoid CSS,
  • content should generally be kept in tables,
  • for edited graphics, add style: “display: block; border: 0px“,
  • be careful when using shadowborder-radius, or background, as some email systems cannot display these properly,
  • each image should have specified width, we recommend adding images adjusted to the size of the email
  • do not add text to the images, many email softwares have problems with displaying such images,
  • do not add a video clip, you can replace it with an image with play icon, it can be linked to the content whatever you like,
  • do not include scripts, frames nor flash animation,
  • do not include forms nor questionnaires
  • table width should not exceed 680px,
  • avoid scripts, frames and flash animations,
  • try not to include forms or surveys,
  • the code MUST be compliant with the W3C standard for HTML 4.01. If there are errors in the code, the template will not display correctly,
  • Polish fonts should be encoded in the standard charset = utf-8 “.
  • use alternative image text, it will display before the images are downloaded in the email software and after you hover with a cursor over the image. It will be visible in case when the image doesn’t display,
  • consider adding a preview link to your email template. A preview link lets recipients open the message in a new window if, for some reason, it did not display properly in their inbox.
  • styles in HTML should be added linearly,
  • we recommend using safe fonts, e.g. Arial, Tahoma, Georgia, Verdana
  • usually, we do not use float, you can omit it with align=”left”
  • responsive emails are simple, a simplified structure will ensure correct display on most of the devices, similarly to non-responsive emails, the structure consists of tables in which we use align attributes, width and media queries,
  • build the structure of the email by mean of <table> and its elements <tr> <td>, when you use <div> there may occur many problems connected with the layout of the columns and rows in the email,
